What a bespoke CRM is
A bespoke CRM is a customer relationship system built around one business's pipeline: its stages, its fields, its handovers. It connects to the email, quoting and accounts tools already in use, so nothing is typed twice. We build them for UK businesses whose sales process doesn't fit a packaged CRM.
Most businesses should buy a CRM first
That is our honest starting point. Packaged CRMs are good, and cheap to try.
When a bespoke CRM is worth it
- Your pipeline has stages, approvals or handovers a packaged CRM can't model without workarounds.
- The real CRM is a spreadsheet next to the one you pay for.
- Customer records need to live with jobs, bookings or stock in your own system.
- Per-seat fees have grown faster than the value you get.
Buy HubSpot or Pipedrive
If your sales process is standard, your team is small, and the only integration you need is email, a package will do it for less. We'll say so on the first call and point you to the one that fits.
What goes into one
- Pipeline stages you define, with the fields your business actually tracks.
- Every email, call and note on the customer record, pulled from your inbox.
- Quotes built from your own price lists, sent and tracked from the record.
- Follow-up and renewal reminders, so leads don't go quiet.
- Invoices and payments from Xero or Sage visible on the customer.
- Reports on the numbers you actually run the business by.
Part of a bigger system, often
A bespoke CRM is often one part of a wider system: the admin side behind a booking system, or the office view behind a customer portal. One database, one login, and the customer record shows everything.
That is usually the real reason to go bespoke. A packaged CRM sits beside your operations. A bespoke one sits inside them.
Questions about bespoke CRMs
Is a bespoke CRM better than HubSpot or Salesforce?
Not for most businesses. A packaged CRM is the right start if your sales process is standard. Bespoke makes sense when the pipeline doesn't fit, or when customer records need to live with your jobs, bookings or stock.
Can a bespoke CRM connect to our email?
Yes. Emails to and from a customer can be logged on their record automatically, from Microsoft 365, Google Workspace or a shared inbox tool.
Can you move our data from our current CRM?
Yes. Contacts, companies, deals and history are exported, cleaned and imported, with counts checked on both sides before you switch.
Do we pay per user?
No. You own the system, so adding a member of staff costs nothing beyond hosting, which is in your name.
