Bespoke job management systems

The whiteboard, the job sheets and the group chat, moved into one system the office and the field team both use.

What a bespoke job management system is

A bespoke job management system tracks each job from enquiry to invoice, built around how your workshop or field team already works. It holds the schedule, job cards, parts, photos and sign-off in one place. We build them for UK service businesses whose jobs don't fit the shape a packaged tool expects.

What goes into one

Every system starts from the jobs you run. These are the parts most of them need.

  • Booking in, from a phone call, a web form or a customer portal.
  • A schedule board that shows who is on what, and what is waiting on parts.
  • Job cards with your own checklists, notes and photos, filled in on a phone or tablet.
  • Parts and materials booked against the job, with stock taken off as they're used.
  • Customer sign-off on the device, with the time and the name recorded.
  • Invoices raised from the finished job and sent to Xero or Sage.

Most service businesses should start with a package

Packaged job software is mature and quick to try. We'd rather you tried it first.

When bespoke is worth it

  • Your jobs have stages, approvals or pricing rules the package forces into notes fields.
  • The office runs a spreadsheet beside the package to fill the gaps.
  • Per-user fees climb every time you hire an engineer.
  • Jobs need to sit with stock, bookings or a customer portal you already run.
When a package is fine

Buy Jobber, simPRO or ServiceM8

If your jobs follow a standard quote, schedule, invoice pattern, one of these will cover it for a monthly fee and you can start this week. We'll say so on the first call.

Built for the person in the van

The engineer on site has a phone, cold hands and patchy signal. Job screens are built for that: big buttons, few fields, and photos that queue and upload when the signal comes back.

The office sees the same job update as it happens. Customers can see it too, through a customer portal with email sign-in links and no passwords to forget.

How a build runs

01

Map the jobs

We follow a few real jobs from first call to paid invoice and write down every step, form and handover.

02

Agree the phases

The work is split into phases, each at a fixed price agreed before it starts.

03

Build in the open

From the second week you get a demo every week, on the devices your team will use.

04

Move the data

Customers, open jobs and history move across, counted on both sides. The old system keeps running until the figures agree.

Questions about job management systems

Is a bespoke job management system better than Jobber or simPRO?

Not for most businesses. A package is the right start if your jobs follow a standard pattern. Bespoke makes sense when your pricing, stages or approvals don't fit, or the package fees grow with every hire.

Will it work on site with poor signal?

Yes, for the parts that matter on site. Job cards and photos can be filled in without signal and sent when the phone reconnects. We agree which screens need this during the first phase.

Can it connect to our accounts package?

Yes. Finished jobs can become invoices in Xero or Sage, with customers and payments kept in step, so nobody types an invoice twice.

Do we pay per engineer?

No. The code, hosting and data are in your name, so adding an engineer costs nothing beyond the hosting you already pay for.

Walk us through one job

On a free call, take us from the first phone call to the paid invoice. If a package would cover it, we'll tell you which one.
